01 What we collect

When you submit a form we collect the information you choose to give us: your name, organisation, role, email address, phone number, country, website, the details of your request, and any file you attach.

Automatically, we record your IP address, browser type, the page you submitted from and a timestamp. This is used for security, rate limiting and to understand which pages generate enquiries.

If you subscribe to our newsletter we store your email address and any stated area of interest. If you complete the ICT Readiness Audit we store your answers, score and contact details so we can send you the report.

02 Why we collect it

To respond to your enquiry and provide the service or information you asked for; to send you the newsletter or resource you requested; to produce your audit report; to improve the website and understand demand; to meet legal, tax and contractual record-keeping obligations; and to detect and prevent abuse of our forms.

03 Lawful basis

We process your data on the basis of your consent where you have opted in to communications, on the basis of contractual necessity where you have asked us to provide a service or quote, and on the basis of our legitimate interests in operating and securing this website. You can withdraw consent for communications at any time without affecting anything else.

04 How long we keep it

Enquiry records are kept for up to three years so we can service ongoing client relationships and meet record-keeping obligations. Newsletter data is kept until you unsubscribe, then the address is retained only in a suppression list so we do not email you again. Audit results are kept for twelve months. Website security logs are kept for ninety days.

05 Who we share it with

We do not sell your personal data. We share it only with staff who need it to respond to you, with the service providers that host this website and deliver our email, and where we are legally required to disclose it. Any provider we use is bound by confidentiality obligations.

06 How we protect it

Data submitted through this site is stored on access-controlled servers, transmitted over encrypted connections, and protected against automated abuse through rate limiting, CSRF tokens and honeypot fields. Uploaded attachments are type-checked and stored with randomised filenames that are not publicly listed.

07 Your rights

Depending on your jurisdiction you may have the right to access the data we hold about you, correct inaccuracies, request deletion, restrict or object to processing, request a portable copy, and withdraw consent. To exercise any of these rights email [email protected] and we will respond within thirty days.

08 Cookies

This website uses strictly necessary cookies to keep your session alive while you move between pages and submit forms, and to remember your name and organisation if you use the customise-experience feature. We do not use third-party advertising or cross-site tracking cookies. You can clear or block cookies in your browser settings at any time; forms will still work, but you may need to re-enter your details.

09 Children

This website and our services are directed at organisations and adults. We do not knowingly collect personal data from children. If you believe a child has submitted data to us, contact [email protected] and we will delete it.

10 Changes to this policy

We may update this policy as our services or legal obligations change. The revision date at the top of this page tells you when it was last reviewed. Material changes will be announced on the website.
